On Monday 7th March QEGS school parents asked us if we could provide supporters wear for a National Schools Cup final at Twickenham on Wednesday 16th March.  But the gear was required by end of Monday 14th March as everyone was traveling down to London.  Of course we could do something, but as ever we wanted to make it as good and easy as possible.

On Monday we checked stock levels, created design options, confirmed deliverability with warehousing and print/ embroidery teams, and agreed pricing.  The design was to have 3 separate print areas + embroidery, so we prioritised these with customer, and agreed that if any area was not achievable in the timescales we would reduce the price.

On Tuesday we created a pop up online shop so everyone could buy direct.  This made things easy for the organisers who didn’t have to keep a list of who ordered what sizes, with what personalisation, and they didn’t have the hassle of collecting payments.

On Wednesday we downloaded all orders and sent them to the organisers to confirm that everyone that needed to order had ordered, then we pulled stock from the warehouse to arrive with the print and embroidery team on Thursday.  A top up order later in the day completed it all.

We had double the orders we were expecting, so on Thursday we had a team meeting to confirm everything had arrived and that the full customisation (3 print areas; 1 embroidery area; + personalised name/ initials) was achievable.

On Monday night we sorted the complete order by customer with dispatch notes separating them all, to make it easy for the organisers to distribute on Tuesday morning before the coaches to Twickenham.

Our motto is “menos que un club” – less than a club – as we know it’s not about us as a supplier.  It’s all about the work the team, the club, the coaches, the volunteers, and the supporters put in week in, week out.  Which is why we go the extra mile with details like pop up online shops to make things a little bit easier.
